WEBEX Frequently Asked Questions
The Hartwell Center is pleased to announce the deployment of WebEx 'Meeting Center' licenses for web meetings and collaboration.
We have a 60 user concurrent license in place that will allow up to 60 participants in any combination of meetings using those 60 licenses at one time.
This resource is intended for business related use only. Only STJUDE employees will be able to sign up for accounts to host meetings. No signup is required for external participants.
Meetings using 4 licenses (1 presenter and up to 3 participants) for up to 60 minutes will incur no charges.
A charge of 25 cents per minute will be charged for each license used above the free limit of 4.
A charge of 25 cents per minute per license used will be charged for every minute over the free limit of 60 minutes.
If a meeting with the same participants is stopped and started within 15 minutes of each other, these meetings will be counted as a single meeting.

Service Description
WebEx Meeting Center - enables you to hold productive, interactive Web meetings with rich media, using virtually any desktop or laptop. Presentations, documents and desktops can be shared in real-time.

Need to Host a Meeting?
- Go to http://stjude.webex.com and click on the 'Log In' link if you have a WebEx user name and password.
- If you do not have a user name and password, click on the ‘Log In’ link and the click the ‘Sign Up’ button’ . Include your name, email and other required information (department and cost center information is required). You request will typically be approved within one business day. You and the authorizing party for the assigned cost center will receive an email once the account has been enabled.
- Once you are logged in, select 'Host a Meeting' and click on the ‘Schedule a Meeting’ link
Need to Attend a Meeting?
Just go to our site and select 'join or register', then select the meeting you wish to attend from the meeting calendar. Or, if you received an email invitation from someone to attend their meeting, simply click on the meeting link provided in the email.
Audio Services
You can use the following for the audio portion of these meetings:
- Dial the party direct from your phone. If on a phone that has conferencing capabilities, you can conference as many parties in as the phone system will allow. Your department will be billed by ITS for any long distance charges made from campus.
- Schedule a conference call with in house conferencing service
- Select the ‘Voice Over IP’ option available through Webex. This require speakers/headphones and a microphone on the computer. Your cost center will be charged for all ‘Voice Over IP’ charges at the rate of 2 cents per minute per user.
Video service (Video is not required to use Meeting Center)
Webex can currently support up to 4 video feeds at one time. A video camera is required to utilize this feature. List of supported cameras
