Q:  I would like to pursue training for WebEx Meeting Center.  What are my options?
A:  WebEx offers both live and recorded training sessions online and will also be available for on-site training.  Please visit http://university.webex.com for the online resources and contact Andrew Pappas (x3091) for information in on-site training events.

Q:  What is the address for the STJUDE WebEx site?
A: http://stjude.webex.com

Q:  What are the charges for this service?
A: Meetings using 4 licenses (1 presenter and up to 3 participants) for up to 60 minutes will incur no charges. A charge of 25 cents per minute will be charged for each license used above the free limit of 4. A charge of 25 cents per minute per license used will be charged for every minute over the free limit of 60 minutes. If a meeting with the same participants is stopped and started within 15 minutes of each other, these meetings will be counted as a single meeting.

Q:  What are the options for audio services?
A: Audio Services. You can use the following for the audio portion of these meetings:

  • Dial the party direct from your phone. If on a phone that has conferencing capabilities, you can conference as many parties in as the phone system will allow.  Your department will be billed by ITS for any long distance charges made from campus.
  • Schedule a conference call with in house conferencing service
  • Select the ‘Voice Over IP’ option available through Webex. This require speakers/headphones and a microphone on the computer.  Your cost center will be charged for all ‘Voice Over IP’ charges at the rate of 2 cents per minute per user.

Q;  What are the system requirements to use WebEx Meeting Center?

Q:  Is a video camera required?
A:  No. A video camera is not required to use Meeting Center.  Webex can currently support up to 4 video feeds at one time.  A video camera is required to utilize this feature.

Q:  Will Webex use LDAP/AD authentications (STJUDE password)?
A:  Not at this time.

Q:  When setting a meeting password, should I use my STJUDE password?
A:  No.  Never use your STJUDE password in any of the fields used for WebEx.  If you set the meeting password to be the same as your STJUDE password, this password will be emailed to all parties that you invite to the meeting.

Q:  Why is a password required for meetings?
A:  If you do not deselect the option to “List Meeting” when scheduling a meeting, the meeting will be listed as an event on the STJUDE WebEx calendar.  If a password is not set, which is sent via email when you schedule the meeting to the invited attendees, the meeting would be open to anyone that might want to join the meeting.

Q:  Can I change my username?
A:  Yes.  Log into Webex and click on the ‘My WebEx’ link.  Click on the ‘My Profile’ link and change your username. Click the ‘Update’ button at the bottom of the form to save the changes.

Q;  Can I use different cost centers?  Can I charge a meeting to a grant?
A:  Yes, but please be sure to clear the use of this cost center or grant with the party authorized to approve charges for these accounts.  When scheduling a meeting, you can click on the “Tracking codes” link and change the Department or Cost Center/Grant that will be charged for any fess associated with the meeting.

Q:  Can other parties schedule meetings on my behalf?
A:  Yes. The delegate must have a WebEx account set up.  Log into Webex and click on the ‘My WebEx’ link.  Click on the ‘My Profile’ link and scroll down to the ‘Session Options’ section and click on the ‘Select From Hosts list…” button.  Select the email address of the party that you would like to act as your delegate and click the ‘Add’ button.  Click the OK button to save this change.  Be sure to click the update button to save this change. The host you have allowed to schedule your meetings can now do the following:

  • Login to the WebEx site with their own host account.
  • Schedule the meeting like normal, however, on the 1st step
  • Required Information, there is a new Schedule For drop down box, the host will need to select your name from the list to schedule the meeting for you.
  • Complete the scheduling for the meeting.

Q:  Can a non-STJUDE party host a WebEx event with this service?
A:  No.  Hosting is only limited to STJUDE employees.

Q:  Will an external party need a WebEx account to join a STJUDE hosted WebEx meeting?
A:  No.  A WebEx account is not required to join a STJUDE hosted WebEx meeting.
